1. Who we are
Brikkd (“Brikkd”, “we”, “us”) is a software platform for Belgian syndic firms (property managers of co-owned buildings — mede-eigendom / copropriété), operated by:

Brikkd is currently in the process of incorporation. No legal entity details (registered name, form, address, or registration number) exist yet. This section will be updated in full once incorporation is complete.

2. What this policy covers, and two roles we play
Brikkd acts in two different capacities under GDPR, and your rights differ depending on which applies to you:
- As a data processor, when we handle personal data on behalf of a syndic firm using Brikkd (e.g. co-owner names, contact details, ticket history, financial records tied to a building). The syndic firm is the data controllerfor this data — they decide what's collected and why. If you're a co-owner and have a question about your personal data, your first point of contact is your syndic firm, not Brikkd directly, though we support them in fulfilling your rights.
- As a data controller, for account and usage data belonging to the syndic firm staff who use Brikkd directly (login credentials, usage logs, support communications).
3. What data we process
Co-owner and building data (processed on behalf of syndic firms):
- Contact details (name, email, phone, unit/building association)
- Communications sent through the platform (maintenance requests, inbox messages, convocations)
- Financial data related to charges, invoices, and outstanding balances
- Documents uploaded to the building's document vault (minutes, contracts, technical reports)
- Vendor and work-order records tied to a building
Syndic firm account data (Brikkd as controller):
- Account holder name, email, role
- Login and usage activity
- Support/contact form submissions
We do not currently use analytics or tracking cookies on this website or within the platform. If this changes, this policy will be updated in advance and a cookie consent mechanism will be added.
4. Why we process this data (legal basis)
- Performance of a contract — processing co-owner and building data is necessary to provide syndic management services the syndic firm has contracted Brikkd for (ticketing, communications, financials, document storage).
- Legitimate interest — maintaining platform security, preventing abuse, and improving reliability.
- Legal obligation — retaining certain financial and contractual records as required by Belgian law (see Section 6).
We do not process co-owner data for marketing or profiling purposes.
5. AI-assisted processing
Brikkd uses a self-hosted AI model (built on the open-source Ollama runtime) to assist with parts of the platform, including drafting email replies and filling in ticket details. Key points:
- Human in the loop, always. AI-generated content — currently email drafts and ticket object fields — is always reviewed and approved by syndic firm staff before being sent or finalized. The AI does not act or communicate autonomously on your behalf.
- No third-party AI provider.Because the model runs on our own infrastructure, data processed for AI assistance is not sent to any external AI vendor — it stays within Brikkd's own systems, the same as the rest of your data. This means there is no AI-related sub-processor to disclose in Section 7.
6. How long we keep your data
- During an active relationship: data is retained for as long as the syndic firm's contract with Brikkd is active, since building and co-ownership records commonly need to remain accessible across multi-year periods.
- After a syndic firm offboards: data is retained for 36 months following the end of the contract. This period exists to support continuity of service should the syndic firm resume using Brikkd, given that syndic/building relationships are typically long-term and reactivation is common in this sector. After 36 months, data with no ongoing legal basis to retain is deleted or anonymized.
- You don't have to wait 36 months. Current and former customers (and co-owners, via their syndic firm) can request access to, deletion of, or an export of their data at any time through our Data Control page. We aim to action deletion and access requests within 30 days.
- You can request earlier deletion of your personal data via your syndic firm (see Section 9), subject to our legal retention obligations.
7. Where your data is stored, and who else sees it
Your data is stored on infrastructure physically located in Belgium.
Sub-processors we use to operate the platform:
- Resend — outbound and inbound email delivery
- Postmark — email delivery
- No third-party AI provider is used (see Section 5).
- Backups are stored on our own infrastructure, not with a third-party backup provider.
We do not sell personal data to third parties.
8. Your rights
If you are a co-owner or other individual whose data is processed by a syndic firm using Brikkd, you have the right to:
- Access the personal data held about you
- Request correction of inaccurate data
- Request deletion, subject to legal retention requirements
- Object to certain processing
- Request a copy of your data in a portable format
Current and former customers can exercise these rights directly and at any time via our Data Control page, which lets you view what data we hold, request an export, or request deletion, without needing to email in and wait.
Co-owners (whose data is processed on behalf of their syndic firm) should contact their syndic firm directly, or reach us at [email protected] and we will coordinate with the relevant syndic firm.
You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données): www.gegevensbeschermingsautoriteit.be.
9. Changes to this policy
We will update this policy as the platform evolves, particularly if we introduce new processing purposes (such as any future data-sharing arrangement with third parties). Material changes will be communicated to syndic firms in advance of taking effect.
